Resume Writing Guide

What is a resume?
A resume is an important part of your career planning process requiring self-analysis. The resume is the document summarizing your plans, qualifications, and values for a potential employer and often serves as your introduction in order to attain an interview. Drawing from the highlights from your resume, an interviewer may use it as an outline for their interview questions and as a review upon your leaving the interview. The resume is a selected history of your experiences highlighting your accomplishments, not an autobiography.

Where do you begin when writing a resume?
Analyze yourself
Begin by reviewing the classes you have taken, the jobs you have held, volunteer experiences, memberships and activities you have participated in school and community, and specific accomplishments you have achieved. Review this information and look for groupings or skill categories. Think broadly across all of your experiences and accomplishments at this point. Make a list of the categories you wish to include on your resume. This list can include education/training, volunteer opportunities, jobs, academic research, travel, and extracurricular activities. All of your experience counts as you move from student to professional.
Analyze the job description
Review job descriptions for the skills, abilities, and qualifications employers are looking for. Use Companies on Campus and the listings in the CSJ for information. It is recommended that you have a specific job in mind when creating a targeted resume.
Organize your thoughts
Try to use the language of the field in which you want to work. Focus on the skills necessary to do the job you are seeking. List strengths and skills used to achieve your accomplishments. Be sure to list as many details as possible, such as the dollar amounts of budgets, the number of people you trained, the growth in revenues for an organization you created, etc.
Create descriptive phrases
Create short phrases to describe your job duties. Avoid using diluted phrases such as "responsible for" or "in charge of." Arrange the descriptive phrases in order of importance to the position. Try to answer the question, "So, what?" for the employer. Begin each statement with a powerful, action verb and use phrases not sentences. Identify the skills most relevant to the position to which you are applying. List them in order of importance from most important to least important within the categories or jobs.
Ensure resume is letter perfect
Misspelled words, grammatical, or punctuation errors will generally disqualify you from any position for which you apply. Do not exceed one page when printed in Word.
Have your resume critiqued by at least three other persons
Undergraduate Career Services has professional staff members to critique your resume. Seek the advice of faculty, career education staff, alumni or business professionals. Each person's perspective helps you clarify your goals, wording, and presentation.

General Format
Length: One page
Margins:
Top (range): 0.5" to 1.0"
Bottom (range): 0.5" to 1.0"
Left: 0.75"
Right: 0.5"
Indent: 1.75" from edge of page (1" from margin; 2 tabs from margin)
Font: Times New Roman
Font Size: 11-12 pt fonts are recommended; not smaller than 10 pt.
Name/Address: Name centered, large font (16 pt or larger); bold.
Centered under your name, put email address in lowercase letters with no underline. If you are not using your school address account, make sure your email address is professional sounding.
Use both permanent and school addresses when applicable. School address and phone number at left margin; permanent address and phone number justified at right margin. Feel free to include your cell phone number on your resume if you are comfortable with employers contacting you there. You should indicate that it is your cell number by putting cell after the number. Make sure your answering message is professional.
Format:
Chronological: List education and business experience in reverse chronological order (most recent first). This is the most commonly expected format for on-campus interviewing and is generally preferred by employers.
Functional Combination: Organize your work experience by skill areas rather than by time periods. Use it to emphasize your abilities and transferable skills in the career area for which you are applying, rather than your career history in which your most relevant experience is not your most recent experience.
Subject Headings: CAPITALIZE, bold and place along left margin
School/Company Names: CAPITALIZE and bold school names and company names
Position Titles: Place directly after or under company name. Use italics in upper and lower case.
Locations: Place locations of universities and companies in upper and lower case
Dates: Place along right margin in plain text the month and year worked, in reverse chronological order. For spring/summer/fall employment the following are acceptable: Spring 20XX, Summer 20XX, Fall 20XX. When necessary and appropriate, further explanation of employment periods can be included in parentheses and italics, if preferred - after the job title: (part-time during academic year).
Restrictions:
Do not use REFERENCES section
Do not underline
Do not include personal information (e.g., age, height, weight, marital status)

Employers want to see that you have had positions of increasing responsibility and leadership
Do not focus on the tasks that you did, such as answered phones, served customers, and created budgets
Focus on what you accomplished by doing these things; answer the question, "So, what?" for employers
Be specific about what you did, quantify the size and scope of your projects, and name the skills you used
Begin each statement with a powerful, action verb and use phrases not sentences
Identify the skills most relevant to the position to which you are applying

Things to DO on a Resume
Use a readable font (not less than 10 pt) and print on a laser printer
Limit your resume to one page when printed in Word
Spell out months and addresses: January, not Jan.; Street, Road and Avenue, not St., Rd., and Ave.
Abbreviate all states in your addresses, for location of employer and school (MI, not Michigan); spell out states in body of description (e.g., "Sales responsibility for Illinois.")
Spell out names of foreign countries
Capitalize languages: Spanish, not spanish; French, not french
Write all years fully: 2003-2004, not 2003-04
Avoid periods at the end of bulleted items
Keep it simple, concise, visually appealing, and avoid overcrowding
Use actual numbers (2,3,4) rather than spelling out (two, three, four)
Include the phrase "Authorized to work in the US on a permanent basis" if you are not a US citizen and you have this authorization
Tailor your objective to the position; be specific in what you want and what skills you offer
Pay careful attention to spelling, punctuation and grammar by checking each word. Proofread your resume several times and have at least three others do so. Many employers will eliminate a candidate from consideration if there a grammatical or typographical errors on the resume.
Use good quality white or off-white paper (at least 20 lb. Bond)
Make it action-oriented. It should communicate the transferability of your experience and the "value-added benefits" you bring to the employer. Use phrases to show where you've made a difference - in a job, in a leadership role, in volunteer position, in a team project, etc.
Focus on facts and figures by quantifying accomplishments when possible
Use short phrases, not long sentences, that convey a positive, concise description of your accomplishments, not your tasks
Use words that convey results (e.g., reduced, gained, brought, advanced, expanded, saved improved, increased)
Use strategically selected key words and buzz words pertaining to the industry and position you are seeking. They will not only catch the eye of a recruiter but will also improve the "scan-ability" of your resume.
Keep a permanent notebook or file where you can continually update your accomplishments, professional development activities, and accomplishments, no matter how small they may seem. These lists will provide you with the information you need to include on your résumé and to negotiate a raise or promotion.
Things to NOT DO on a Resume
Do not abbreviate degrees (Bachelor of Science in Business, NOT BS in Business).
Do not abbreviate Indiana University, Kelley School of Business
Do not place references on resume. Have a separate sheet for references.
Do not lie, exaggerate or use humor.
Do not include personal information such as weight, height, marital status, social security number, age, race, religion, or political affiliation
Do not use graphics (unless you are applying for a graphic arts/design position)
Do not list detailed descriptions of unrelated job duties
Do not use words such as I, me, or my
Do not exaggerate your experience
Do not start phrases in experience section with "Responsible for"
Do not state salary
Do not use abbreviations without spelling out what they stand for

FAQ's
"What if it won't fit on one page?" Suggestions for getting more space:
Minimize top and bottom margins to 0.5 inch
Remove experiences or phrases within experiences that do not relate to the types of jobs you will be seeking
Remove activities or honors that are older or do not represent applicable skills or interests
Make sure you haven't listed the same skills, accomplishments, or activities for more than one employer
Don't crowd the information; leave adequate white space on the page
Do continue to use a single blank line between sections
